Creating a Printed Course Pack

The CLA Higher Education Licence for Photocopying and Scanning has greatly simplified the process of creating course packs for students. This has resulted in Information Services being able to offer a cost-effective service that provides the complete product for distribution to students.

Who can have a printed course pack?

The CLA licence allows the making of multiple copies by or for the benefit of authorised persons. Authorised persons are current members of staff and registered students of the University. Note, however, students studying on short-term courses, delivered on a cost-recovery basis, in return for a fee and which are not included in the UCAS brochure are not classed as authorised persons.

What can I include?

If the material you wish to be included in the course pack is covered by the CLA Licence and is not on the current CLA List of excluded categories and works and is within the copying limits set by the Licence (see below), creating your pack should be a relatively straightforward process.

If the material is not covered by the CLA Licence or is beyond the copying limits, the process will be more complicated and lengthy. Information Services Digitisation and Short Loan Service will advise you on all your course pack requirements.

Academic staff are kindly asked to check if a journal paper is already available electronically by checking the eJournals and articles before making any requests. Papers available electronically will not be added to the coursepack except in exceptional circumstances.

There are limits on the amount of material which can be copied and included in a course pack without express permission first being needed from the rights holder(s).

These are:

  • up to 5% or one whole chapter (whichever is the greater) from a book,
  • up to 5% or one whole article (whichever is the greater) from a single issue of a journal,
  • up to 5% or one paper (whichever is the greater) from a set of conference proceedings,
  • up to 5% of an anthology of short stories or poems or one short story or one poem of not more than 10 pages (whichever is the greater),
  • up to 5% or one single case (whichever is the greater) from a published report of judicial proceedings.              

The CLA Licence permits the copying of graphical images, e.g. diagrams, illustrations, photographs etc." and their inclusion in course packs, whether they are separate or accompany illustrative text, e.g. they appear in the context of a journal article.  Note that maps, charts and books of tables are not covered by the CLA Licence.

How do I order my printed course packs?

Visit creating digital copies of printed materials if you would like to produce digital rather than printed materials.

  1. When you have decided which items you would like included in the course pack, inform the Digitisation and Short Loan Service of the details by completing the Course Pack Request Form. The form details all the information we require to proceed with the course pack.

    You will then be informed of the total cost of the service. If a copy of an article you require is held by the University Libraries, you will only be charged the costs of copying it, i.e. 5p per page. However, if it is not held, we would have to order a copyright fee-paid (CFP) copy in order to copy and include in the pack. The price of these can vary quite considerably, depending upon the charges set by the publisher; however, the Digitisation and Short Loans Service will confirm the cost before proceeding.
  2. Once you have confirmed that the price is acceptable, a master copy of the course pack will be collated and available for collection. On collection, a copyright disclaimer form will need to be signed. 
  3. The total cost of the course pack will be charged to your faculty cost centre code.

When will my course packs be ready?

Please order course packs as far in advance as is possible. We will endeavour to complete in as short a time as possible subject to copyright clearance, but there may be a delay if we need to order articles.
