What a transcript is and how you can get one

What is a transcript?

An academic transcript is a formal summary of your achievements during your award. It will list all the modules you completed in each year of the course, your module results, and the credit value and level of each module. Confirmation of any exemptions will also be listed where applicable.

Formerly the university issued paper transcripts along with student certificates. However, from 2022 onwards we ceased the issuance of paper transcripts.

Students who were awarded from 2016 onwards will have been issued a digital transcript (HEAR) (exemptions will apply to International Partner college or institution students).

The HEAR allows graduates to digitally share an authentic record of their studies with agencies and employers, providing more flexibility than paper transcripts. We also feel that providing transcripts digitally is a more sustainable approach.

Who can have a paper transcript?

Paper transcripts can be provided on request and will incur a charge for production. Take a look at our full list of services and charges.

We can only provide paper transcripts where an award has been achieved.

Historic Transcripts

It is not always possible to provide a full transcript to students with historic awards. Not all departments held comprehensive archived records for previous graduates. Therefore, we are unable to guarantee that a complete set of module information has been preserved for all former students.

Whilst we will make every effort to acquire your module information to produce a transcript, we can only do so if this information has been archived. Retrieving archived information can also take time, and we cannot guarantee the availability of information related to your course.

If we are unable to produce a transcript, we will issue a letter confirming the information we have found in relation to your award. Please note that an archive retrieval fee may apply.

How do I request a paper transcript?

To submit an order for a paper transcript you will need a validation code. You will not be able to submit an order without this.

To acquire a validation code please submit your request via awards@staffs.ac.uk. You will be asked to provide some supporting documents when logging your request so please make sure you have the following to hand:

  • Copy/photograph of your photo ID (e.g. passport).
  • Proof of name change (e.g. marriage certificate) if applicable.

Once the team have completed our ID checks you will be given a validation code and unique customer ID number.

It can take longer to issue a code for historic and overseas partner awards. An archive fee may apply, see a list of our charges.

You can then head to the online store, add the transcript to your basket and proceed to checkout. When prompted please enter the codes provided.

Please note: Delivery of replacement certificates is chargeable, and orders cannot be processed unless delivery has also been purchased –make sure you’ve added your preferred delivery to basket before checking out - please see our delivery times and prices for more information.

Once your payment is complete you will receive an email receipt. The team will let you know when your transcript has been dispatched.

We've collated the most common questions we're asked about requesting paper transcripts to help solve any problems or queries you might have.​

Can I get a digital copy?

We only issue paper transcripts through the store. We cannot provide PDF transcripts. 

Can I order multiple transcripts?

You can order as many transcripts as you need. A charge will apply to each transcript. 

How long will it take to receive my paper transcript?

Orders can take up to 15 working days from the point of payment to process, this does not include postage times. Please see our guidance on expected delivery times for more information.

If you would like your transcript to be sent to an overseas address, we recommend that you add DHL to your order for secure and tracked delivery.

Can I collect my transcript?

We are not able to accommodate requests for collection.

If you need your transcript urgently or are worried about not being home, then couriered delivery may best suit your needs.

Can you send it to someone else on my behalf?

Your transcript will be sent to the delivery address provided in your order. 

If you want your transcript to be sent to an address other than your own, please make sure you enter this address when prompted to enter your delivery address details.

Can I submit an order on someone else’s behalf?

Award documents should only be purchased by the individual the award pertains to. We will not accept orders from third parties, including friends and relatives. 

What is acceptable ID?

We need to see some ID from you so that we can verify we have located your records. To complete our verification your ID should meet the below standards:

  • Is a legal form of ID – student cards will not be accepted.
  • Clearly displays your full name and date of birth.
  • Is still in date or expired within the last 6 months – there should be a clear expiry date.
  • Is in English or has been legally translated.
  • Your photo ID matches your name at the time of award – where it doesn’t, we will also need to see legal evidence of your name change (e.g. marriage certificate or deed poll), this is so we can link your current name back to the name we have on record.
  • Is clear and legible 

Examples of acceptable photo ID include, Passport, Driving Licence, National ID Card.
